Organization settings

The General tab in workspace settings holds the handful of values the rest of OnTrackio reads as defaults: who support emails come from, how asset tags are prefixed, your time zone, your default currency, and how far ahead renewal reminders fire. Set them once and every screen that uses them stays consistent.

These are workspace-wide settings. They apply to every user in your workspace, not just to you.

:::note Before you begin

  • You're signed in to your workspace with an admin role (admin, it-admin, or super-admin). See Logging in.
  • All of these are optional — each field falls back to a sensible default if you leave it blank. Set the ones that matter for your team.
  • Looking for your logo, app name, or colours? Those live on the Branding tab — see Branding.
  • Looking for session length, MFA enforcement, or IP allowlisting? Those live on the Security tab — see Security policies. :::

Open the General tab

  1. In the admin sidebar, select Settings.
  2. Select the General tab.

The page opens on the tab you last used, so if you came here from another section, select General to be sure. All settings tabs share one form and one Save changes button at the bottom — saving on any tab saves your edits across every tab at once.

What you can set

Every field on this tab sits under the Organisation card. All five are optional and fall back to the default shown.

Leaving a field blank keeps the default in the table above — it doesn't clear the setting to empty. The placeholder text you see in an empty box (for example OT- or Europe/Vilnius) is a hint, not the saved value.

Set each value

Support email

To set the address employees see as their IT contact, enter it in Support email. Use a monitored inbox or distribution list, such as it-support@your-company.com. OnTrackio validates the format on save and rejects anything that isn't a valid email.

Asset tag prefix

To control how auto-generated asset tags read, set Asset tag prefix to a short string, for example OT-, LAP-, or your company initials. OnTrackio prepends it when it generates a tag for a new hardware asset. Keep it short — the field caps at 16 characters.

tip

Changing the prefix affects only tags generated after you save. Existing assets keep the tags they already have, so your historical labels and QR codes stay valid.

Timezone

To make dates and times read in your local zone, enter an IANA time-zone name in Timezone — for example Europe/Vilnius, Europe/Berlin, or Europe/London. Use the region/city form, not an abbreviation or a UTC offset. OnTrackio rejects names it doesn't recognise as valid time zones.

Default currency

To set the currency for purchase prices and spend figures, choose one from the Default currency dropdown: EUR, USD, GBP, or PLN. This is the currency the spend dashboard and finance views report in.

Software renewal reminder (days)

To decide how early you hear about upcoming license renewals, set Software renewal reminder (days) to a whole number between 1 and 365. This is the window admins are notified within ahead of a software license's expiry or renewal date. The default is 60 days.

This setting controls admin renewal notifications. Employees can separately turn their own license-renewal emails on or off in their profile — see Notifications.

Save your changes

  1. Select Save changes at the bottom of the settings page.
  2. The page reloads with a green confirmation banner.

OnTrackio records the change in the audit log against your account.

tip

Because every settings tab shares one form, Save changes commits edits on all tabs at once. If you tweaked Branding or Security in the same visit, those save together with your General edits.

Verify

  • After saving, the green banner reads Settings saved. Some changes (session lifetime, SSO credentials) take effect on the next request.
  • Reopen Settings → General. Each field shows the value you entered.
  • Generate or add a new hardware asset; its auto-generated tag uses the new prefix.

Troubleshooting

SymptomWhat to do
Save fails with a validation message at the top of the pageRead the rose error list. The likely cause is an invalid Support email, a Timezone OnTrackio doesn't recognise, or a Software renewal reminder outside the 1365 range. Fix the named field and save again.
The Timezone field won't accept your entryUse a full IANA zone name in region/city form, such as Europe/Vilnius — not an abbreviation (CET) or an offset (+02:00).
You can't reach the Settings page at allSettings is admin-only. Confirm you have an admin, it-admin, or super-admin role — see Roles and permissions.
Settings loads, but the page is blocked from savingIf your workspace enforces an admin IP allowlist, you must be on an allowed network to reach admin pages. Ask another admin to check the Security tab — see Security policies.
A new asset tag still uses the old prefixThe prefix applies to tags generated after you save. Re-check that Save changes completed (green banner), then add a fresh asset to confirm. Existing tags don't change.
You don't see a Default currency other than the four listedThe dropdown is fixed to EUR, USD, GBP, and PLN. There's no free-text currency entry.
